To prevent from missing any sales enquires, Benny, also works for the sales team, is assigned to take care of all these enquires for a certain period of time.  In order for Benny to receive these emails, one of the methods is to set an auto-forward function on Sam’s mailbox; however, in this case, this will not be an efficient way since there’s no need to keep Sam’s mailbox and occupy the storage required as Sam has already left.  There is no need to keep a copy in Sam’s mailbox anyway.

Under this condition, Alias Email Address(es) will help you to manage your resources more effectively.  All you need to do is to remove Sam’s mailbox from the system (Remember to download all the emails before you do that; otherwise, all emails will be removed and cannot be recovered.).  Now Sam’s mailbox does not exist in the system anymore but we now treat “Sam” as virtual user and use “sam” as a virtual username and add this to Benny’s mailbox as an alias.
